Step 1. Clarify the Conditions for Providing a Replacement

A replacement may be provided immediately after your request, after diagnosis or if an on-site repair is impossible. This affects replacement timing.
Check which faults qualify for a replacement and which exclusions apply, such as improper use. Availability may also depend on spare equipment. If a suitable machine is unavailable, you need agreed next steps and the responsible person’s contact details.
Step 2. Agree on the Deadline for Restoring Service

A response from support, the technician’s arrival and getting the replacement machine ready for service are separate stages. “A technician will arrive within 24 hours” does not establish when the café can serve drinks again.
The terms should specify:
which event starts the clock;
whether time is counted in business hours or total elapsed hours;
how evening, weekend and holiday requests are handled;
whether delivery, connection and testing fall within the promised deadline.
For your café, the key deadline is when the machine will be installed, connected and tested. Intermediate stages also need deadlines. If a delay occurs, you need to know whom to contact for a revised deadline for restoring service.
Step 3. Check Whether the Replacement Suits Your Café

During peak hours, the replacement must keep up with your orders, including milk drinks. Matching the brand or number of espresso brewing groups is insufficient: the machine must handle espresso preparation and milk steaming at your workload.
Before delivery, compare electrical connection requirements, power rating, water supply, drainage and dimensions with the café’s setup. Suitable filter holders with baskets for ground coffee (portafilters) and accessories are needed. Check grinder compatibility, including whether the portafilter fits beneath the grinder’s dispensing outlet.
Installation, setup and staff familiarisation with the replacement are best agreed in advance. At startup, prepare drinks from your menu.
Step 4. Clarify Costs and Rental Charges During Downtime

Free use of a replacement does not mean free delivery, installation and collection. The offer should list these costs, including the original machine’s return, and specify what is included. Extras may depend on the cause of the coffee machine breakdown, the café’s location or the timing of the visit.
Rental charges may continue during a complete shutdown. Payment arrangements and any adjustment for a delayed replacement are best agreed in advance. Check whether the amounts include value-added tax (PDV in Serbia).
Step 5. Document Handover and Return

A written handover record helps prevent disputes. Record the model, serial number, condition, supplied items and operating test result.
Care requirements and liability for damage should be agreed for the replacement period. Agree on the period of use, return of the repaired machine, collection of the replacement and reinstallation timing.
Common Mistakes
Treating the technician’s arrival deadline as the deadline for restoring service.
Accepting a “similar machine” without checking its specifications.
Assuming delivery and installation are automatically included.
Relying on verbal promises.
FAQ
Must the replacement machine be the same brand?
This depends on the rental terms. For your café, suitability for the workload, menu and connections matters more.
Will a replacement grinder also be provided?
This is a separate question for the supplier. An agreement to provide a replacement coffee machine does not automatically cover other equipment.
Can rental payments be suspended during downtime?
This depends on the agreed billing and adjustment arrangements. Do not assume payments are automatically cancelled.
Request a rental offer, providing your café’s location, menu and peak workload. Ask for written details of servicing and replacement terms.
